Starting a Timecard
Begin by clicking the "Create Timecard" button in your dashboard
The top section of the timecard form displays important reference information:
The organization name you are billing
The end client for the job (if applicable)
The project's reference number
Timecard Structure
Like invoices, timecards in ProducerAI are organized by date
Each day displays the associated labor expenses that need to be billed
You must submit a timecard for each individual day listed before submitting to the organization
Submitting Time Worked
Click on a labor expense to submit a timecard for it
Review the preliminary information to ensure accuracy:
Verify that hours and guaranteed amount match your agreement
Contact the organization if there are discrepancies before proceeding
Click "Add Timecard" to begin logging your hours
Entering Time Details
Enter your start time for the day worked
Time must be entered in the format "09:00 AM" or "09:00 PM"
Be sure to include AM or PM as some browsers may only show this as a preview
Add breaks if needed:
Define the start and end time for each break period
Multiple breaks can be added if necessary
Review your timecard breakdown:
The system automatically calculates your pay based on minimum hours and guaranteed rate
Overtime calculations will apply if your hours exceed the standard workday
Submitting the Timecard
Save the timecard to submit it for the specific day
Repeat this process for each day that requires a timecard
After completing all individual day timecards:
Add any additional notes if necessary
Click the "Submit Timecard" button
Once submitted, the timecard moves to the "Submitted" section of your dashboard
You'll receive an email confirmation of your submission
Note: The same principles for adding additional expenses, handling reimbursables, and removing expenses apply to timecards as they do to invoices.
